Job Description:
We are seeking a proactive and detail-oriented Administrative Staffing Coordinator to manage day-to-day staffing logistics for administrative personnel across departments. This role involves scheduling, communication with temporary and full-time staff, and ensuring that workforce needs are consistently met to support smooth business operations.
Responsibilities:
- Coordinate the scheduling and placement of administrative staff across departments and client sites
- Monitor daily attendance, time tracking, and shift coverage
- Maintain accurate records of staff assignments, availability, and contact information
- Serve as the point of contact between staff and management regarding scheduling issues or coverage gaps
- Collaborate with HR and recruitment teams to address staffing shortages
- Prepare weekly staffing reports and performance summaries
- Ensure administrative support staff are briefed on job expectations and equipped with necessary tools
- Provide orientation to new administrative employees on policies and procedures
- Track performance feedback and escalate concerns to the appropriate departments
- Ensure compliance with internal staffing policies and relevant labor regulations
Requirements:
- 2+ years of experience in staffing coordination, workforce management, or administrative support
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to multitask and adapt to changing staffing needs
- Familiarity with scheduling software and Microsoft Office (especially Excel and Outlook)
- High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred)
Preferred:
- Experience in a staffing agency or large corporate office environment
- Knowledge of labor law and workplace compliance related to scheduling and timekeeping
